Ordering school uniforms in Rwanda: a guide for schools

Every year around this time, the calls start coming in to our Kigali studio: head teachers, bursars and parents' committees asking whether new uniforms can be ready before the school year opens. Sometimes the answer is a comfortable yes; sometimes it's a nervous "only if we start today." The difference is almost never money - it's timing, and a few decisions made early. Here's the guide we wish every school in Rwanda had before placing a uniform order.

Start earlier than you think

A uniform order is a manufacturing project, not a print run. A full school uniform order moves through fabric sourcing, cutting, sewing, embroidery, quality checks and packing - and for several hundred students that is measured in weeks, not days. Our rule of thumb: place your order six to eight weeks before students need to wear the uniforms, and add more time if you're changing the design, adding new items or ordering for over five hundred students. Schools that order in July for a September start get first pick of fabric and a calm delivery schedule; schools that call two weeks before opening day get whatever is left.

Get the sizes right before anything is sewn

Sizing causes more uniform headaches than price and fabric combined. Don't guess from age alone - children of the same age vary enormously. Ask your supplier for a size set: one sample garment in each size that teachers can try on real students, class by class, while recording the counts. Add a little growth room for younger years - a uniform that fits perfectly in September should still close in June. Finally, order a buffer of the most common middle sizes, around ten percent extra: new students arrive mid-year, and some uniforms will need replacing. A small surplus is far cheaper than a rushed re-order of five shirts.

Choose fabric for a school year, not a catalogue photo

A school uniform is washed and worn harder than almost any other garment - daily wear, weekly washing, line drying in strong sun. Choose fabrics for that life: breathable cotton-rich blends for shirts and blouses, hard-wearing poly-cotton for trousers and skirts that hold their colour and shape, and a quality knit for sweaters that won't pill by the second term. Colourfastness matters under Rwanda's sun. Before approving the full order, always ask for a sewn sample in your actual fabric and colours - approve it, wash it once, and check it again. That single garment is the cheapest insurance a school can buy.

Badges, crests and labels - making the uniform yours

The school crest is what turns a garment into a uniform. For crests and logos we recommend embroidery: stitched directly onto sweaters, shirt pockets and blazers, it never cracks, fades or peels the way printed transfers eventually do, and it looks the part at assembly and in official photos. Keep thread colours consistent across every item so the whole school matches. And for the endless lost-property problem, woven name labels sewn or ironed into each garment get sweaters back to their owners - parents will thank you.

Think beyond the classroom uniform

The same order can cover everything students wear. PE kits - sports T-shirts, shorts and tracksuits in house colours - are best ordered together with the main uniform so sizes and delivery line up. Many schools add spirit wear for staff, school teams and special days, plus school accessories such as ties, socks, caps and branded bags that complete the look. Ordering everything in one batch usually means better pricing and one delivery to check instead of four.
