Staff uniforms in Kigali: what to order and what it costs

2026-08-09 · 7 min

A team in matching kit is the cheapest credibility a business in Kigali can buy. Before anyone says a word, the customer sees a crew that looks organised and decides you are worth trusting. Staff uniforms also cost far less than most owners expect: branded T-shirts and polos start at around RWF 6,000 a piece, aprons at RWF 8,000, hi-vis vests at RWF 10,000 and full workwear at RWF 12,000, with your logo embroidered from RWF 5,000. Here is what to order for your kind of team, how many to buy, and what each item costs at our Kigali studio.

Start with the people your customers see

If the budget only stretches so far this month, put it on the staff who meet customers face to face. The waiter, the receptionist, the delivery rider and the technician who arrives at someone's house are your business in that moment, and matching kit changes how they are received before the first sentence. The store room and the back office can wait. This is also why we tell owners not to buy one shirt for everyone at once: two good polos for the four people out front does more for your reputation than one thin T-shirt each for twenty staff who are mostly out of sight.

Match the garment to the job

The right uniform is decided by what the work actually does to clothes. For restaurants, cafes, salons and bakeries, a branded apron over the team's own clothes is the fastest and cheapest way to look like one business, and it takes hot washing well. For site work, deliveries, installation crews and anyone near a road, high-visibility vests and jackets are safety first and branding second, which is the right order. For technicians, drivers, warehouse and workshop teams, proper workwear in shirts, trousers or overalls survives a working day that a cotton tee would not. For front desk, sales and office teams, a collared polo or shirt from our T-shirts and polos range reads smart without feeling like a costume. Add caps for riders and anyone working in the sun, and hoodies for early mornings and cooler months. If your team plays in a company league or you sponsor a local side, team sportswear comes from the same order and the same artwork.

Embroidery or print on a uniform

For a garment worn every day, embroidery is almost always the better buy. Your logo is stitched into the fabric, so it cannot crack, fade or peel the way a print eventually does after months of hot washing, and it carries a corporate feel that print cannot match. A logo embroidered on a left chest or a cap costs from RWF 5,000 and it will outlast the garment. Print earns its place in two situations: a large, colourful design across a back or a full front, and short-life shirts for a one-day event or campaign, where paying for stitching makes no sense. Many of our uniform orders use both - an embroidered logo on the chest, a printed slogan or website on the back. If you want the detail on how the printing methods differ, we compared them in our guide to T-shirt printing methods.

Sizing, fabric and the Kigali climate

Two things sink more uniform orders than price ever does. The first is sizing. Do not order from a staff list and a guess - ask us for a size set, let people try the actual garments on, and write down what each person takes. It costs a few days at the start and saves a pile of unworn shirts at the end. The second is fabric. A uniform here is worn all day in the sun, washed weekly and line dried, so choose breathable cotton-rich fabric for shirts and polos, a hard-wearing poly-cotton for trousers and overalls, and colours that hold rather than fading to a tired grey by the third month. Before a large order, always approve a single finished sample: wear it, wash it once, then look at it again. That one garment is the cheapest insurance you can buy on the whole order.

What staff uniforms cost in Kigali

These are indicative starting prices at our Kigali studio, before quantity, fabric and branding method are agreed:

  • Branded T-shirts and polos - from RWF 6,000
  • Caps - from RWF 7,000
  • Aprons - from RWF 8,000
  • Hi-vis vests and jackets - from RWF 10,000
  • Workwear shirts, trousers and overalls - from RWF 12,000
  • Team sportswear - from RWF 12,000
  • Hoodies and sweatshirts - from RWF 15,000

  • Woven clothing labels - from RWF 500
  • Uniform repairs and alterations - from RWF 2,000
  • Branded tote bags - from RWF 4,000

Quantity moves these figures more than anything else, because setup and artwork are shared across the run. Tell us your real headcount rather than a round guess and the quote gets sharper.

The details that finish a uniform

Three small items turn matching shirts into a proper uniform. Printed name badges or ID cards let customers use your team's names, which is the sort of small thing people mention in reviews, and they matter for anyone entering a client's premises. Branded lanyards carry those badges and cost very little. And a woven clothing label at the neck, from RWF 500, is the difference between a shirt that feels bought and one that feels made for your company - the same trick every clothing brand uses. If your team carries tools, samples or paperwork to clients, a branded tote bag finishes the picture and keeps your name in view all the way there and back.

How many to order, and planning the next batch

The rule that works for most Kigali businesses is two garments per person for anything worn daily, so one can be washed while the other is worn, and three for messy trades like kitchens and workshops. Add roughly ten percent extra in your most common middle sizes: people join, garments get damaged, and a small surplus is far cheaper than a rush order of three shirts. Order the whole team in one batch where you can, because the price per piece drops and every garment comes from the same fabric roll and the same thread - uniforms ordered piecemeal over a year rarely match, and mismatched kit looks worse than no kit at all. Your sizes, artwork and thread colours stay on file with us, so topping up for a new starter is a phone call. When a garment tears or a zip fails, our uniform repair service keeps it going instead of replacing it.

How ordering works with us

Send us your logo, how many people you need to kit out and a rough idea of the job they do. That is enough for a clear, itemised quote, usually within the hour. We produce a digital mock-up so you see your logo on the actual garment before anything is stitched or printed, and for larger orders we prepare a single sample first. Finished orders are delivered across Kigali and anywhere in Rwanda, folded and sorted by size and by name if you send us the list. Browse the full range on our apparel page to see garments, colours and branding options in one place.
