Business stationery in Kigali: what it all costs

Business stationery is the printing a Kigali company orders once and then quietly relies on every working day. A numbered invoice book, a letterhead for the quote you email out, a company stamp, and a folder to hand a proposal across in. None of it is expensive: NCR invoice and receipt books start at around RWF 12,000 a book, letterheads at RWF 20,000 for a hundred sheets, a self-inking stamp at RWF 12,000 and presentation folders at RWF 25,000. Here is what each item is actually for, what it costs at our Kigali studio, and the order we suggest buying it in.

Start with the three that earn their keep

If you are opening this month and the budget is tight, three items do almost all the work. A business card, because every conversation that turns into work starts with someone being able to reach you afterwards. An invoice or receipt book, because you cannot get paid tidily without one and a handwritten scrap of paper undoes every other impression you have made. And a company stamp, because in Rwanda a stamped document simply reads as official, whether it is a delivery note, a receipt or a letter. Those three cost less than RWF 40,000 together and they cover the everyday running of a small business. Everything below is worth adding as the work comes in, not before.

Invoice and receipt books, and why the numbering matters

An NCR book is carbonless: you write once and the copy appears on the sheet underneath, so the customer takes the top copy and you keep the record. Duplicate (two-part) suits most receipts and invoices; triplicate (three-part) is worth it when a third copy has to travel with a delivery or go to your accountant. Ask for sequential numbering on every book and keep the used ones. That numbering is the whole point: it is what makes your records checkable, what stops two customers being handed the same invoice number, and what your accountant will ask for at the end of the year. Order books in your own name and design rather than buying generic ones, and tell us at the quoting stage whether these are invoices, receipts, delivery notes or job cards, because the columns differ. Tax and billing requirements vary by the kind of business you run, so confirm what applies to yours with the Rwanda Revenue Authority before printing a large batch - asking costs nothing and it can save a whole order.

Letterheads, envelopes and compliment slips

These three are what a business looks like on paper, and they matter most in the moments that decide real money: a quote, a proposal, a formal letter, a tender submission. A letterhead on decent 100gsm or 120gsm bond does something a logo pasted into a Word document never will, and it is worth printing a modest stack even if most of your correspondence goes out as PDF, because the printed version is what gets handed across a desk. Branded envelopes in DL, C5 or C4 finish the job, and they are the cheapest way to make sure a delivered document is opened rather than ignored. Compliment slips are the item most businesses skip and then quietly love once they have them: a short branded note tucked in with a delivery, a sample or an invoice, which takes five seconds to write and reads as far more considered than nothing at all.

Folders, profiles and certificates

Anything you hand to a client in person is worth a little more attention, because it stays on their desk after you have left the room. A presentation folder with a slot for your business card turns a loose stack of pages into something that looks considered, and it is the standard way to submit a proposal or a tender in Kigali. A company profile is the document clients and donors ask for by name when they are deciding whether to work with you, and having one ready in both print and PDF has won more work for our clients than any advert. If you run training, courses or staff programmes, printed certificates with a foil seal cost very little and mean a great deal to the person receiving one. Order it as one set, not five separate jobs

The most common mistake we see is stationery bought one piece at a time over two years, each from a different designer or a different shop. The logo ends up slightly different on the card and the letterhead, the blue is not quite the same blue, and the whole set quietly signals a business that is improvising.
